Terms of Service

1. About these terms

These terms govern your use of ClubVault, a sports club management platform operated by Inkarr (“we”, “us”, “our”), available at www.clubvault.app. By creating an account or using the platform you agree to these terms.

2. The service

ClubVault provides software tools for amateur sports clubs, including member registration, payment processing, team management, and related features. We act as a software provider — we are not a party to any transactions between clubs and their members.

3. Accounts

• You must be 18 or over to create an account.
• You are responsible for keeping your login credentials secure.
• Club administrators are responsible for all activity under their club's account.
• You must provide accurate information when registering.

4. Payments and billing

• ClubVault charges a monthly platform fee based on the tier selected (Starter, Club, or Federation).
• A platform percentage is applied to subscription payments processed through Stripe Connect.
• All fees are charged in GBP and are non-refundable except where required by law.
• Payment processing is handled by Stripe. Card details are never stored by ClubVault.
• You can cancel your subscription at any time from Settings → Subscription. Access continues until the end of the billing period.

5. Acceptable use

You agree not to:

• Use the platform for any unlawful purpose
• Upload malicious code or attempt to compromise platform security
• Use another user's account without their permission
• Attempt to access data belonging to another club
• Resell or sublicense access to the platform

6. Data and privacy

Your use of ClubVault is also governed by our Privacy Policy. As a club administrator, you are a data controller for your members' data. We act as a data processor on your behalf — see our Data Processing Agreement.

7. Intellectual property

ClubVault and its software, design, and content are owned by us. We grant you a limited, non-exclusive licence to use the platform for its intended purpose. You retain ownership of all data you upload.

8. Availability

We aim to provide a reliable service but do not guarantee uninterrupted availability. Planned maintenance will be communicated in advance where possible. We are not liable for losses arising from downtime.

9. Limitation of liability

To the fullest extent permitted by law, our liability for any claim arising out of your use of ClubVault is limited to the fees you paid to us in the 3 months preceding the claim. We are not liable for indirect, consequential, or loss-of-profit damages.

10. Termination

We may suspend or terminate your account if you breach these terms, fail to pay, or use the service in a way that harms others. You may delete your account at any time. On termination, your data will be handled in accordance with our Privacy Policy.

11. Changes to these terms

We may update these terms from time to time. We will notify club administrators by email at least 14 days before material changes take effect. Continued use after that date constitutes acceptance.

12. Governing law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
